The follow-up system that was delivering nothing

A lead flow of roughly 1,200 to 1,500 leads a month had a hidden problem: people were entering the follow-up system and nothing was going out. 144 people in, zero messages delivered. We used AI to trace the rules deciding who got messages, found the block, and documented the exact fix. The next report: 879 of 886 emails delivered.

Revenue from the campaign that "won" on clicks

More clicks, less money

AI analysis of past campaigns surfaced a counterintuitive pattern: the message style earning about 22% more clicks was producing 67% less revenue. It attracted attention from the wrong buyers. We validated it with a live test across roughly 64,000 subscribers, and the same thing happened: the clickable version won on clicks again and still produced no more revenue. If the team had judged by clicks, they would have scaled the loser.

Attributed call bookings after the rebuild

Simpler follow-up, stronger bookings

An important follow-up sequence was barely producing booked calls: 21 generic emails, heavy branching, too many places to get stuck. We went deeper than cleanup. AI analyzed the business's customer data, built out the real buyer avatars, and simulated each avatar moving through the existing sequence to find where every type of buyer stalled or got the wrong message. Then we rebuilt it as segmented, personalized paths: 6 targeted emails instead of 21. Attributed call bookings rose more than 10x.

Pressure-tested the launch before customers felt it

Before a new offer went live, AI walked 11 real customer scenarios through the planned setup: early buyers, late buyers, repeat buyers, people qualifying for two paths at once. It flagged where customers would get duplicate messages and where the team was quietly signing up for manual cleanup work, and the launch plan shrank from two automations to one simpler flow. The result was a launch that didn't create support tickets, confusion, or exceptions someone had to babysit.

Customer applications analyzed

Years of buried customer data became a sales playbook

The business was sitting on years of gold: call transcripts, applications, intake forms, CRM records. Nobody had time to read it all. We used AI as a research department: 11 independent AI analysts worked through 177 top customers, nearly 200 recorded calls, and more than 12,000 applications to map why people bought, what they said in their own words, and which customer types needed different messaging. Then we blind-tested it: predictions made from a single sales call, for 18 brand-new customers the research had never seen, checked against what actually happened over the following months. The test validated 31 distinct buying signals the sales team could listen for, and the strongest ones proved right 90 to 100% of the time. The team walked away with sales conversation guides, messaging rules, and customer profiles built from what buyers actually say.

Meetings stopped leaking decisions

A team was running fast across calls, chat threads, and shifting priorities with a dozen people involved. Decisions kept living in someone's memory. We used AI to process every call and update into decisions, action items with owners, open questions, and clean handoff docs, with sensitive details automatically separated and protected. New work started from the record instead of from scratch, and "wait, what did we decide?" stopped being a meeting agenda item.

  • Found the real onboarding bottleneck. Connected customer files, CRM records, and meeting history into one timeline and showed where time was actually being lost, by stage and by team member.
  • Made the marketing numbers trustworthy. Separated "who received the campaign" from "who engaged" from "who actually took action because of it," so the owner stopped over-crediting campaigns.
  • Traced 592 leads through the sales process. Followed them from campaign to booked call to closed client, separating real campaign results from wishful attribution.
  • Built a content engine that checks itself. Drafts get reviewed from multiple customer perspectives before sending; it killed one article for being too close to something the audience had already received.
  • Caught a risky sentence before it reached customers. A review pass flagged wording in an email that could have put a reader in an unsafe spot, and fixed it before send.
